Executive Coordinator to Chief & Council – Full-Time 2-Year Term – Apply by September 11, 2026

Piapot First Nation is seeking a highly organized and professional Executive Coordinator for a full-time, two-year term to provide dedicated executive, governance and administrative support to Chief and Council.

Reporting directly to Chief and Council and working closely with the Band Administrator, the Executive Coordinator will ensure that leadership schedules, Council meetings, records, correspondence, briefing materials, Band Council Resolutions and governance follow-up are managed accurately, efficiently and confidentially.

Key Responsibilities

The Executive Coordinator will:

  • Provide high-level executive and administrative support to Chief and Council, including managing calendars, appointments, meeting requests, schedules and itineraries.
  • Prepare briefing packages, speaking notes, background materials and other decision-support documents.
  • Coordinate regular and special meetings of Chief and Council, including agendas and meeting packages.
  • Record accurate meeting minutes, prepare Band Council Resolutions and track Council decisions and action items.
  • Maintain official governance records, confidential and in-camera files, BCR registers, correspondence and secure filing systems.
  • Track Council-approved motions, resolutions, strategic directions and governance actions.
  • Prepare briefing notes, issue summaries, decision papers, executive correspondence, letters, presentations and speeches.
  • Coordinate Chief and Council’s participation in community meetings, strategic planning sessions, conferences, assemblies, government meetings and external engagements.
  • Arrange approved travel, registrations, accommodations, itineraries and event logistics.
  • Support administrative tracking of the Chief and Council Office budget and prepare authorized financial documentation.
  • Maintain strict confidentiality, political neutrality, sound judgment and professionalism when handling sensitive governance matters.
  • Support a clear and effective working relationship between governance and administration.

Qualifications and Experience

The ideal candidate will have:

  • A diploma or degree in Business Administration, Public Administration, Indigenous Governance, Office Administration, Political Science or a related field. An equivalent combination of education and relevant experience may be considered.
  • Three to five years of progressively responsible experience in executive administration, governance administration, senior administrative support, executive coordination or Indigenous government.
  • Experience directly supporting elected leadership, a board, Council or senior executive office.
  • A strong understanding of First Nation governance, Chief and Council processes, motions, resolutions, Band Council Resolutions and confidential or in-camera records.
  • Exceptional written communication, minute-taking, briefing-note, report-writing, scheduling, records-management and follow-up skills.
  • Advanced proficiency with Microsoft Office, Outlook and Teams.
  • Excellent professional judgment, discretion, political awareness and the ability to manage multiple priorities and sensitive matters.
  • A valid Class 5 driver’s licence and the ability to travel as required.
