Piapot First Nation is seeking an Administrative Assistant to join the Chief Payepot School team. The Administrative Assistant is responsible for managing front desk operations, providing administrative support and helping ensure the efficient operation of the school office. The position primarily supports the Principal and school administrators and assists with financial tracking, document preparation, correspondence, school communications and other administrative duties.
Responsibilities
Responsibilities include, but are not limited to:
- Collect, track, prepare, photocopy, scan, file and submit cheque requisitions to Band Finance.
- Track and enter financial transactions into Excel, including GL accounts, and reconcile transactions with the approved budget.
- Prepare FHQ Education reimbursement requests and submit them to the Principal for approval.
- Maintain strong working relationships with school vendors and service providers.
- Prepare purchase order documentation and place orders for teachers, support staff, maintenance and kitchen staff.
- Coordinate the pick-up and delivery of school supplies, including maintenance and custodial supplies, hot lunch and student snack supplies, office supplies and classroom materials.
- Manage and track budgets for school events and initiatives.
- Assist with shopping, preparation and coordination for large-scale school events and initiatives, including the Christmas Concert, Arts Festival and holiday hampers.
- Track attendance and prepare payroll documentation for the Principal’s review and signature.
- Draft, coordinate and finalize monthly school newsletters and school calendars for social media.
- Draft and coordinate academic calendars for the school year.
- Draft school communications and Facebook content, including posts highlighting student activities.
- Coordinate document filing, archiving, retrieval and storage.
- Plan and coordinate staff events and team-building activities.
- Work with FHQ IT to help resolve staff and student technology and email issues.
- Support Grade 12 graduation processes and required documentation.
- Create, edit, print and manage student and class school photographs.
- Work collaboratively to support staff, students and community members as needed.
- Demonstrate professionalism, discretion and accountability at all times.
- Perform other duties as assigned.
Qualifications
The ideal candidate will have:
- A diploma or certificate in Office Administration, Business Administration or a related field is preferred.
- A minimum of two years of administrative experience; experience working in a school environment is an asset.
- An equivalent combination of education and experience may be considered.
- A current valid Criminal Record Check and Vulnerable Sector Check.
